5 Tips for Learning How to Use Your Office Phone System

Learning how to use a new office phone system may seem like a daunting task, but it doesn’t have to be!

Fortunately, Switchvox Product Marketing Manager Matthew Hilton recently sat down with Digium’s Sam Stiles to share a few tips on learning how to use your new office phone system. Below is an overview of Matt’s top five tips:

1. Read the Manual

While traditional office phone system manuals might have you searching for your reading glasses, quick start guides will spare you the eye strain. In these guides, you will find the most important information needed to learn how to use your new office phone system with the minimal amount of reading necessary. If you have questions about learning your new phone system, the manual and quick start guide are great places to start.

2. Get Your Feet Wet

For more technical people, the best way to learn how to use an office phone system is to simply dive right in and play around with the wire cables and functions. Most phone systems today are very user-friendly and there’s really not much that you as a user can do to mess them up. In fact, phone system providers often encourage you to play around with your new phone system and get to know it.

3. Phone a Friend

What better way to learn how to use your new office phone system than to start by giving your coworker a call? This is a low-stress way to practice using your phone system and it gives you an opportunity to make calls without the fear of accidentally hanging up on a potential customer or business partner.

4. Call-in from Your Cell Phone

If your coworkers are too busy to answer calls, a great training alternative is to call your extension using your cell phone. Calling in with your cell phone is an easy way to mimic real-life call situations without the fear of making mistakes. Best of all, if you accidentally hang up on yourself, you can simply call in from your phone again and continue learning your new phone system.

5. Don’t be Afraid to Ask Questions

Product marketing managers like Matt love to help answer questions you may have about your new phone system. Additionally, your provider’s IT staff are more than happy to answer questions. The bottom line is don’t be afraid to ask questions and get the help you need when learning how to use an office phone system.
